Booking Settings

Your Booking Settings will allow you to set booking timings and styles, hide certain sections of the form, make certain fields required and set deposit & payment options. Head to Configuration > Booking Settings for the following settings.

Set Booking Timings

  • Select how far in advance people can book on your booking website. Take into account how long you need to prepare for a booking eg. could you get staff sorted in time if you're allowing customers to book next day events?
  • Enter rough times for how long it takes for set up and pack down for events. This will tell you, staff and attendants the Arrival and Departure times on your Bookings List.
  • Choose whether the Times of the bookings appears as a select list or a pop-up calendar.
  • Select the minute options you want to display. Disable both to only allow bookings on the hour.
  • Set the default booking start time and end time - maybe suggest this based on your most popular package length.
  • Tick Set a minimum and maximum time limit to set the earliest and latest times that a customer can Book (PLEASE NOTE: This only works for Time Picker Style: Pop-up).

Hide Sections of the Booking Form

BoothBook was originally built and set up for our type of photo booth business, but your Boothbook should reflect your business needs. You may not need all of the sections of the booking form that comes displayed by default.

  • Hide prices from customers. Enable No Price Mode, and all customer facing prices are hidden during the booking process, the customer is asked to enter the total price they were quoted when booking. An admin must then confirm that the price entered by the customer is the correct price. (PLEASE NOTE: To use this, you MUST disable the "full balance" payment option.)
  • Tick Calculate a running total to show a running total on the booking form as the customer chooses packages and extras.
  • Tick Enable Smooth Scroll  to make a user's browser scroll when they choose a service, then package, then extras.
  • When a new customer selects a date form the booking calendar, they are shown a page that has descriptions of all your bookable units. Select Hide the bookable unit descriptions page to hide this page, and send customers directly to the booking form.
  • Under Form Adjustments, you also have the options to hide other individual fields from the booking form.

Require Customers To Complete Certain Booking Form Fields

Your BoothBook booking form requires customers to enter certain personal and venue details eg. email address and venue postcode, so that other functionality of the system can be completed. eg. sending notifications and calculating travel fees. However, the following fields can be be made required or not:

  • Telephone
  • Mobile Phone Number
  • Event Name
  • Event Time
  • Venue Name
  • Street Address
  • City
  • Postcode

Deposit & Payments Options

Choose how much a customer should pay to confirm a booking: Either Deposit OR Full Balance, Deposit Only or Full Balance Only, or Pay Later. If Deposit is ticked, choose the deposit that customers must pay to secure a booking eg. 50, then in Booking Deposit Format you can also choose whether the amount is a fixed amount ( eg. £50 ) or a percentage amount ( eg. 50% ).

In Force Full Balance, enter the number of days before a booking date that the customer must pay full balance such as 7 days. Then, for example, if a customer is booking for 3 days time, you want them to pay in full, and not have to chase them for a remaining balance.

Stock Threshold

If you have Extras products that run out eg. USB Sticks, you are able to set a stock amount on these such as 100, and set a global stock threshold such as 10 so that you are notified when you are getting low.
