Scheduled Notifications

Use scheduled notifcations to send SMS or Email notifications at certain times before or after a booking.

Some examples might be...

  • A friendly payment reminder 30 days before a booking.
  • A stern payment reminder 2 days before a booking.
  • A reminder SMS to staff the morning of a booking.
  • A feedback request email 7 days after booking.

 

To create a scheduled notification, proceed with the following steps...

  1. Go to the Configuration (cog) icon on the tool bar on the left, and then to Scheduled Notifications.
  2. Click Add a new Scheduled Notification, enter a title for the notification. This is an admin title only, and will not be shown to customers.
  3. Configure your schedule
    • Choose whether you are sending an Email or an SMS
    • Choose whether the recipeient should be the Customer, Assigned Staff, or Admin
    • Choose the length of time
    • Choose the units of time
    • Choose whether it is sent before or after the event date
  4. Configure your conditionals
    • Optionally choose to send the notifications if the booking DOES or DOES NOT contain a certain package or extra.
    • Optionally choose to send the notification if there is a balance remaining, or if it is paid in full.
    • IF YOU DONT SELECT ANY VARIABLES IT WILL SEND TO EVERYONE
  5. If the message is an email, add a subject line. (You may use variables)
  6. Configure the notification content. Use the available veriables to personalise the notification.

 

An example may look like this:

Subject: Special offer for booking #{{booking_id}}

Hi {{client_name_first}},

We aren't that far away from your event on the {{event_date}}, and i noticed you don't have a guestbook included in your booking.

We hand make our guestbooks with craft paper brown hard covers, and black pages - then print a duplicate of every photo to stick on the guestbook, and your guests sign the book with a white or silver sharpie pen. Not only do they look great, but they also make the most amazing keepsake of your event, something that you are sure to look back on in the future.
